What is Office Chair?

An office chair, or desk chair, is a type of chair that is designed for use at a desk in an office. It is usually a swivel chair, with a set of wheels for mobility and adjustable height. Modern office chairs typically use a single, distinctive load bearing leg (often called a gas lift), which is positioned underneath the chair seat. Near the floor this leg spreads out into several smaller feet, which are often wheeled and called casters. Chairs with additional adjustments, such as seat pan tilt, cater to a wider range of use cases; sometimes this is combined with a powered standing desk, to further mobilize the body.

Types of Office Chair
Ergonomic Office Chairs

Arguably the most popular type of chair in an office setting. Ergonomic office chairs come with all sorts of benefits that tend to far out-way the cons (with the cons being related to cost). With a robust design and adjustable features, sitting in an ergonomic chair for long periods is easily done. For those whose days are spent (for the majority) at their desks, an ergonomic chair seems like a no-brainer. On top of that, ergonomic chairs come in all shapes, sizes, and materials. From leather to mesh and fabric, ergonomic chairs can cater to a large range of audiences.

Leather Office Chairs

Leather office chairs instantly exude a sense of style and comfort from the get-go. While comfy, not all leather office chairs will be built to be used over long periods of time. Typically, leather office chairs can be quite expensive but cheaper leather products do exist. Ideally, leather chairs should be used in cooler environments. Sat within hot environments, leather can become sticky and make the user sweatier than normal. If you’re out to make a statement and sit within a cool environment, a leather office chair may be the way to go for you.

Mesh Office Chairs

Mesh office chairs tend to be a fantastic answer to offices situated in hot climates or generally hot offices. With their breathable holes, the mesh material allows for free-flowing air to keep you cool during the day. Mesh chairs tend to be quite lightweight. So if you require moving your chair around multiple times a day, a mesh chair can help with this situation.

Task/Operator Chairs

Task/Operator office chairs are considered to be the most basic type of office chair. With that tag they also tend to be the cheapest. They do the simple job of providing a seat, and added benefits such as adjustable lumbar support and headrests will more often than not elude the design stage.
If you’re not looking for your chair to meet the requirements of a specific job other than a place to park yourself for an hour or two, then a task chair could be your best bet. However, if you are one to sit down for extended periods of during the day, something more robust might be necessary.

Kneeling Chairs

As you might know, sitting down all day isn’t the healthiest thing for us to do. Our bodies just aren't designed to sit for extended periods day in day out. Unfortunately for a lot of modern day workers, it’s nearly impossible to get away from this. For those that are concerned about back pain, or if you already have back pain, a kneeling chair could be a solution that could relieve the stress you place on your body.

Heavy Duty Office Chairs

Heavy duty office chairs are undoubtedly the largest and most robust type of chair on the market. They serve a specific purpose of catering to those larger users who need it most.
With their larger than average seat and backrest this should be the go to type of chair if you’re after that much bulkier chair. They've also been specifically tested to hold heavier weights, with tougher materials and stronger gas struts so no need to worry about the mechanisms buckling under pressure. Although it’s highly advised you check the model specifications before purchasing.

Designer Office Chairs

As you can imagine, designer office chairs are there to look good. If you want something out of the ordinary that offers that ‘wow’ factor, designer chairs fit the bill perfectly. While their design was specifically to be different, they do offer lots of options in terms of comfort and support. Designer office chairs aren't restricted by material choice or size. They tend to mix and match from the other types of office chairs while looking incredibly stylish.

Gaming Chairs

Designed with style and comfort in mind, gaming chairs typically feature ergonomic features that help you through long gaming sessions. Modeled on the bucket seat of a racing chair, gaming chairs are very distinctive in look. This shape allows you to lean into them, getting support across your whole back, neck and head due to their high backs. While they are marketed towards gamers, they can easily do the job of a more traditional office chair should you really enjoy the look of these chairs.

Ergonomic Stools/Draughtsman Chairs

Ergonomics stools (also called Draughtsman Chair) are a great alternative to the more traditional office chair. They are a great way to quickly take a break from extended sitting periods. Ergonomic stools can help boost your productivity, improve productivity and even tone your core muscles. Perfect accompaniments to standing desks, ergonomic stools allow the thighs to slope downwards, leaving the pelvis and lower back in a neutral position, which in turn places the spine in its natural curve.

Different Lumbar Supports for Office Chairs

Fixed Lumbar Support
Fixed lumbar is actually the lumbar support fixed to the backrest and it cannot be repositioned or modified in any way. They’re usually configured in the lower end or leather office chairs. Fixed lumbar is generally more ergonomic for an office chair than that without a dedicated lumbar support at all. However, since each person’s spine curvature is quite unique, it may be counter if the lumbar is positioned incorrectly or protrudes too little or too much for persons.

Adjustable Lumbar Support
The adjustable lumbar support allows manual adjustment of the lumbar area to better suit the curvature and depth of the individual’s spine.
Nowadays, there coming up with the adjustable office chair lumbar supports with one or more different functions. They respectively are:
● Height adjustable
Users can adjust the height or position of the lumbar support to fit the precise area of the back.
● Depth adjustable
Users can control the degree of lumbar support protruding outwards.
● Firmness adjustable
It is usually achieved by a knob. Users can control the firmness or softness of the lumbar support.

Dynamic Lumbar Support
This type of lumbar support can adjust its depth and firmness automatically according to the change of people’s posture. So that it can provide continuous support at all times. Dynamic lumbar support can also be seen on some high-end chairs.Dynamic lumbar support is very beneficial when implemented correctly. Because it automatically fits to the constant changes in your back when you sit down.

Benefits of Having an Ergonomic Office Chair

Let’s dig a little deeper into the specifics:

Using Ergonomic Office Chairs Leads to Great Health Benefits.

Among the top reasons why you should get an ergonomic office chair are the health benefits that come with its regular use. Ergonomic chairs can help ease lower back pain, give support to the spine, keep joints in a neutral position, and alleviate neck and shoulder pains. Using ergonomic office products can also reduce the risk of developing musculoskeletal disorders that damage the neck and back.

Ergonomic Chairs Provide More Comfort.

You spend a third of your day in your office chair. It’s hard to sustain a good work ethic for that long if it’s not comfortable. An ergonomic chair can be adjusted to the body’s natural form (and let’s face it, not everyone is built the same way) so that you’re more comfortable while carrying out necessary work tasks.

Ergonomic Office Products Improve Productivity.

According to a study from Kelton Global, 92% of respondents said that an inadequate workplace would negatively affect their mental health and productivity.
Ergonomic furniture increases employee engagement. According to the same Kelton Global study, more than half of American workers believe that having an uncomfortable workspace would cause them displeasure at work.

Ergonomic Office Setups Provide Cost Savings over the Long-term.

Compared to other types of chairs, ergonomic chairs are more expensive from the onset. But they pay off in the long run because they help employees stay healthy. Worker’s compensation is expensive — health is definitely wealth!

How to Judge the Quality of Office Chairs?

We, as experienced office chair part manufacturer, are intimately familiar with every part of office chairs. This also means that we have a comprehensive and in-depth understanding of office chairs, including those used in offices and homes. Below, we will guide you on how to judge the quality of office chairs.

Seat Comfort
The comfort of the seat is one of the key factors affecting the quality of a home office chair and can be judged through a sitting experience. A good home office chair should have excellent support and comfortable padding, ensuring durability and resistance to deformation. Additionally, the seat cushion and backrest should be breathable. When purchasing office chairs online and unable to personally test the comfort, we can delve into the product descriptions provided by the seller and consider the following aspects for further judgment.

Functionality
Understand the various functions of the office chair. A home office chair should have certain functionality, such as adjustable seats and armrests, the ability to accommodate different body types and work scenarios, and safety features for swiveling, tilting, or sliding. Some high-end chair cushions may also offer features like massage.

Materials and Craftsmanship
Frame materials commonly used include aluminum alloy and steel pipes, which are more sturdy, durable, rust-resistant, and suitable for prolonged sitting. Common materials for the chair surface include genuine leather, PU material, textiles, and mesh. The materials and craftsmanship of a good home office chair should be reasonable, clean, resistant to wear, and not prone to fading.

Quality Certification
If a home office chair has undergone authoritative certifications, such as quality certification, ergonomic certification, ISO certification, and the like, it provides a greater guarantee of quality.

After-Sales Service
Quality home office chair manufacturers should offer comprehensive after-sales support and services, including return and exchange policies, repairs, maintenance, etc. Consider the duration, scope, and cost of the support provided.

Factors to Consider When Choose Office Chair

Adjustable Height
Your office chair should be such that its height can be adjusted per your height. To gain maximum benefit and comfort, you should be seated so that your thighs are parallel to the ground.

Lumbar Support
Choose a chair that supports your back the same way your spine does. Good lumbar support is a must-have for any office chair worth the money. Your office chair needs to support your lower back so that your back is arched slightly to avoid discomfort throughout the day.

Adjustable Armrests

Invest in an office chair with armrests to alleviate some of the pressure off your neck and shoulders. There should also be a means to adjust the armrests to find a comfortable position that prevents you from slouching.

Seat Width and Depth

You must ensure that the chair is deep and wide enough to sit comfortably. You should be able to sit in an office chair with your back against the backrest, and your knees bent at a distance of two to four inches between your knees and the seat.

Adjustable Backrests

You need to have control over adjusting your backrest however you like. It's always good to look out for a locking mechanism that will hold the backrest in its place.

Adjustable Controls

All the adjustable controls of your office chair should be easily reachable from your seating position. Whether it is going lower or higher or even tilting, you should be able to control every function without any strain.

Fabric

An office chair's fabric or material is frequently overlooked despite its significance. To sit for extended periods in comfort, the material must be breathable. You shouldn't feel the chair's wooden frame through the cloth, either.

Installation Guide of Office Chair

Most office chairs and gaming chairs include an instruction manual that should guide you through each step of the process. You won’t need too many things to start with the assembly of your desk chair. Find a 12 mm open-end wrench, gather all the components of your office chair, and you can get started.
Firstly, unbox your office chair. Make sure to strip the plastic out of all the parts if they have it. Organize the parts so you can easily identify them once you start building the chair. Now, let’s start building the chair with our task chair assembly instructions:

Connecting the Seat to the Mechanism

Firstly, you'll need to connect the seat with the chair's main mechanism. You should find a few screw head bolts in the box (typically, there are four). Proceed to start bolting the mechanism with the seat. Do it as tightly as possible, as this part will support most of the weight when you're seated.
Turn the chair upside down, and slide it back onto the mechanism. Once you do, please bolt everything as tightly as possible to make sure nothing falls over.

Attach the Armrests

If you see the underside of your ergonomic white office chair, you’ll find that there are a few holes around the sides of the seats. That’s where you will attach the armrests. You should have four extra bolts, two for each armrest, so you can attach them safely to the chair.

Connect the Casters

Next up, grab the five-star base of your new chair and the casters. You must apply pressure to each caster while connecting them to the base. Do it until you hear a click, which means that the caster has been successfully connected to the chair.

Connect the Gas Strut on the Chair to The Mechanism

First, find the gas strut cover and place it on the gas strut. Then, attach the whole unit to the five-star base. Next up, connect the chair mechanism to the five-star base, and your chair should be fully-assembled now.

Attach the Accessories

If you have bought an office chair with a headrest or a footrest, for instance, you should attach them to their respective areas. The headrest goes in the backrest, while the footrest might be attached to the underside of the seat.

Inspect the Chair

The last step is making sure that everything has been tightly attached and that you haven't missed any bolts. If everything is okay, you're now free to use your chair as you please!

How to Adjust Your Office Chair?

01

Adjust the Height

Sit down and adjust the height of the chair so your feet are flat on the ground and your legs form a 90-degree angle. Your knees should align with or rest slightly lower than your hips. Over time, if you feel pressure near your butt, raise the chair a little. If you feel pressure at the front of your leg, lower the chair.

02

Adjust the Seat Depth

If a chair allows it, you may need to adjust the depth of the seat—meaning where you sit in relation to the backrest. Sliding the seat works similarly to how it does in a car, usually with a button underneath the seat or a knob on the side. Sit on the chair and keep your feet flat on the floor, then check that the clearance between the seat and your calves fits a clenched fist. If the front of the seat is digging into the back of your knees, slide the seat back a little. If you have too much room and your knees are sticking out, slide the seat forward.

03

Adjust the Arm Rests

Adjust the height of the armrests so they’re at elbow height with your shoulders relaxed, and your arms are at a 90-degree angle. If the armrests are too high, they force you to shrug; too low, and you slouch. If the arms slide in or out, move them so they support whatever work you’re doing. For example, slide them in when you’re typing out a long email on a keyboard, then slide one out when you’re working more with the mouse.

04

Adjust the Recline and Tilt Tension

Reclining in a chair is an important way to relieve loads on your spine while opening up your thigh-torso angle, so you should do it throughout the day. If the chair has a tilt-limiter setting, lean back as far as you want to go and lock it into place. We recommends around 110 degrees as a good place to keep your chair’s recline for keyboard and mouse tasks. Don’t be afraid to unlock the recline and lean farther back throughout the day.

05

Adjust the Lumbar Support

Not all chairs have lumbar support—usually a small plastic piece attached to the backside of the chair—but if yours does, slide it so it fits into the natural curve of your spine. If you can adjust the amount of pressure the lumbar support applies, dial it in until it’s comfortable: If you feel too much pressure in your lower back, let it out a little.

Tips for Achieving Healthy Office Space

Armed with the right ergonomic office furniture and supplies, you’re well on the way to a healthier work situation. Here are just a few final tips to max out your ergonomic:

  • Maintain good posture. What use is having ergonomic furniture if you’re not helping yourself? Maintaining good posture includes sitting at a 100-110 degree angle, not slouching, keeping elbows close to the body and wrists straight, and relaxing the shoulders and back.
  • Reduce repetitive movement. Changing tasks or positions reduces potential injury.
  • Take breaks every hour. Stand up and move around to give your body a break from sitting.
  • Regularly rest your eyes. It’s also important to rest your eyes. The easiest way to do this is to follow the 20-20-20 rule. Look at an object 20 feet away, for 20 seconds, every 20 minutes. Don’t forget to blink often.
  • Go hands-free on calls. There are times when you wedge your phone between your shoulder and ear as you try to do two things at once, but doing this frequently can cause muscle tension. With the availability of technology nowadays, why not consider going hands-free? Check out wired/wireless headphones and headsets if you’re frequently on the phone for your job.

Maintenance of Office Chair

Regular Cleaning

Start by vacuuming the chair using a suitable attachment to remove any accumulated dust and debris. Pay extra attention to hard-to-reach areas, such as the crevices and corners, where dirt tends to accumulate. After vacuuming, take a soft cloth and gently wipe down the chair, removing any remaining dust or smudges. If necessary, use appropriate cleaners that are specifically designed for the chair's material, whether it's fabric, leather, or synthetic upholstery.

Tighten Screws and Bolts

Approximately every six months, take the time to thoroughly examine the chair, paying close attention to its mechanical parts. This inspection ensures that the chair remains in optimal working condition and provides the necessary support for a comfortable and productive workspace. In the event of identifying any loose screws or bolts, it is vital to tighten them promptly. This simple action not only enhances the chair's stability but also prevents further damage from occurring.

Check the Gas Lift Cylinder

In the event that your office chair continues to experience stability issues despite tightening the screws and bolts, it is possible that the gas lift cylinder is faulty. If it is not functioning correctly, it can compromise the chair's stability and pose a hindrance to your comfort and productivity. In such cases, it is recommended to contact the office chair manufacturer or supplier to obtain a replacement gas lift cylinder.

Avoid Direct Sun Light

To maintain the quality and longevity of your office chair, it is crucial to protect it from direct sunlight. Prolonged exposure to sunlight can cause the fabric to degrade over time, leading to fading, discoloration, and potential weakening of the material. To avoid this, it is recommended to position your office chair in shaded areas of the room, away from direct sunlight.

Regular Lubrication

To maintain the smooth functionality of your office chair, it is important to lubricate the moving parts regularly. This includes the swivel mechanism that allows the chair to rotate and the casters that enable easy movement across the floor. Lubricating these components helps reduce friction and ensures effortless motion.

Weight Limit Awareness

When it comes to office chair maintenance, one crucial aspect often overlooked is being mindful of the weight limit specified by the office chair manufacturer. It is essential to respect and adhere to this weight capacity to ensure the longevity and functionality of the chair. Exceeding the weight limit can place undue stress on the chair's structure, leading to potential damage and accelerated wear and tear.

How to Fix an Office Chair that Won't Stay up?

Since having a sinking chair is so common, do-it-yourself solutions can help fix the problem in no time. However, you need to know the steps to complete them. Keep reading to find out more.

Use a Hose Clamp
One of the most common solutions to fix an office chair is to use a hose clamp. There are other alternatives such as using a PVC pipe, but the hose clamp is many people's favorites. To use it, take the cylinder and slide the plastic skin off your chair. Most office chair parts include a visible plastic skin that covers a metal tube, and you need to expose the tube to successfully fix the sitting spot. Thus, slide the plastic skin off.

Adjust the Chair to the Height You Want
The second step is crucial because you might not be able to change it later. Once the metal tube is exposed, adjust the seat until it has the right height for you. A good way to know the proper height of the chair is to use your knees as a reference. When you stand up, the seat should be level with them. On some occasions, the computer chair is so damaged that it doesn't stay up even if no one is sitting on it. If that happens, lay it on its side to complete the process.

Grab the Cylinder and Wrap the Hose Clamp Around It
Find a hose clamp (also known as Jubilee Clip). You can buy it at any hardware store. Once you have it, loosen its screw. It can help you fix an office chair. After pulling on the end that has the belt, wrap the clamp around the metal cylinder. You shouldn't tighten it yet, so make sure you complete each step of the process correctly before continuing.
An extra recommended step to fix an office chair is to improve the grip of the clamp since it's going to need a very tight grip to hold the chair up. To do that, grab the cylinder and wrap a strip of rubber or duct tape around it.

Tighten the Hose Clamp
If you completed the rest of the steps correctly, it's time to tighten the hose clamp as much as you can. Grab the top of the cylinder and slide the clamp up. Make sure the ergonomic chair has the proper height before completing the step. Once you guarantee that everything is alright, pull the hose clamp. Then, rotate the screw to tighten it.

Test the Chair
Now that you learned how to fix an office chair that won't stay up, it's time to determine if it works or not. After you tighten the clamp, the chair should be able to slide down past it. In other words, it shouldn't keep sinking despite your efforts. Sometimes the chair might be at the wrong height even after trying to adjust it correctly.

Frequently Asked Questions of Office Chair

Q: 1. What kind of office chair do I need?

A: For most office workers a well-built budget office chair with adjustable height, tilt and lumber support will suffice. However with the many chairs available there are plenty to choose from to suit all types of people and budgets. The most important thing to remember when sitting is achieving good posture.

Q: 2. What is the difference between an office chair and a desk chair?

A: Office chairs and desk chairs are often used interchangeably to refer to the same type of seating. They are designed for use at a desk in an office and are usually swivel chairs with wheels and adjustable height. But desk chair, might deliver more in the way of casual comfort, such as adjustable lumbar support. Many office chairs also don't come with armrests and may feature a lower backrest too, which might be a conscious decision in order to save space.

Q: 3. Are office chairs better with or without arms?

A: Office chairs with armrests can be more ergonomic and comfortable. Armrests can support your upper body, shoulders, and neck. They can also help reduce shoulder shrugging and forearm contact stress. Armrests provide much-needed support when getting out of a chair, particularly for older people with joint problems. In addition, the leverage provided by armrests significantly reduces the force required by the knees and hips.

Q: 4. Are ergonomic chairs better than office chairs?

A: An ergonomic chair is designed to reduce strain on your body and support your well-being by improving body functions like circulation. It reduces pressure on your hips: Normal chairs have a hard surface. So when you sit, the seat exerts extra pressure on your hip region.

Q: 5. Can I use a sofa as office chair?

A: Do Not Work On The Sofa. While sitting on the sofa with your laptop might sound appealing, in truth it's possibly the worst place you could sit while working from home. Sofa's, in general, encourage you to slump. They don't offer much back support and you'll end up rounding your shoulders with your head forward.

Q: 6. What is the problem of a chair without armrests?

A: Armrests are beneficial as they support our upper limbs and reduce the amount of load down to our lower back while sitting. Not having desk chair arms in your chair can harm your back. If you don't have something that holds your arms, your body can lean forward. That's a common issue among office workers. Leaning forward makes you lose lumbar support and curves your spine, producing back pain.

Q: 7. What is the ideal height for an office chair?

A: A seat height that ranges from about 16 to 21 inches off the floor should work for most people. This allows the user to have his or her feet flat on the floor, with thighs horizontal and arms even with the height of the desk. But having an adjustable chair height allows the employee to adjust it further to make it just right for them.

Q: 8. How do you adjust the height of an office chair?

A: The perfect seat height for an office chair should be at a level that allows your feet to rest flat on the floor and your thighs to be parallel to the floor. Flip the chair over, unscrew the wingnuts from the bolts, slide the bolts out, slide the inside rod to the desired position within the outside rod, reinsert the bolts in the new position, and secure the wingnuts.

Q: 9. What is lumbar support and why is it important in an office chair?

A: Lumbar support in an office chair helps maintain the natural curve of your lower back. The lower portion of the spine, just above the buttocks, naturally curves inward toward the belly (the lordotic curve). A lumbar back support helps promote good posture by simply filling in the gap between the lumbar spine and the seat, supporting the natural inward curve of the lower back.

Q: 10. Can an office chair reduce back pain?

A: An ergonomic desk chair may help alleviate back pain. However, to work best, it must be adjusted to fit the individual user's body and comfort level. Remember that sitting in one position for extended periods of time in any type of chair is not good for the back.

Q: 11. How do you adjust the backrest of an office chair?

A: You may need to loosen a lever or knob at the base of the backrest. If there is no knob or lever you must have a ratchet style adjustment. These allow adjustments simply by pulling upwards one click at a time. Once the backrest reaches the top position it will drop to the bottom starting position again.

Q: 12. What is the weight capacity of most office chairs?

A: The weight capacity of an office chair depends on the materials used to make it. Most office chairs have a weight capacity of 200–250 pounds. However, some chairs can support up to 500 pounds. It really depends on the manufacturer and the quality of the materials they use to make the chairs. Generally speaking, plastic and mesh chairs have a lower weight capacity than metal and fabric chairs.

Q: 13. How do you clean an office chair?

A: Vacuum frequently with the upholstery attachment to keep your chair clean. Wipe down your office chair with a microfiber cloth dampened with water. For a deeper clean: mix a few drops of liquid soap with a quart of distilled water. Dampen a rag with the solution and wipe gently at the surface of your office chair.

Q: 14. How much should you expect to spend on a high-quality office chair?

A: Generally, you will find a great office chair for at least $100. However, if you're willing to spend around $200 – $400 on an ergonomic model with higher-end features and materials, you'll likely find the perfect fit for your needs. But whether they are worth the investment depends on several factors such as the user's specific needs, comfort preferences, and budget.

Q: 15. Are there any disadvantages to using an office chair that swivels?

A: Wheeled office chairs are not suitable for all work environments, for example, in meeting rooms where people are expected to sit still for long periods of time. Fixed office chairs like tub chairs may be a better option for employee breakout areas and reception rooms. The heavy mechanism of swivel chairs can be quite difficult to move to another room. These chairs are designed to have you sit in one place for a long time.

Q: 16. What is the difference between a task chair and an executive chair?

A: Padded Seat And Backrest. One of the key ways to distinguish between a task chair vs an executive office chair is the level of padding. Executive chairs have padded backrests and often feature padded armrests for added comfort.

Q: 17. How do you know if an office chair is ergonomic?

A: An ergonomic chair should have a lumbar adjustment (both height and depth) so each user can get the proper fit to support the inward curve of the lower back. The backrest of an ergonomic office chair should be 12 to 19 inches wide. It takes some of the load from your neck, back, shoulders, and legs in the seated position. The height of armrests should also be able to be adjusted.

Q: 18. Can you use an office chair on a carpeted floor?

A: It's important to recognize that while computer chairs offer excellent comfort and mobility, they can pose challenges for carpeted floors. The repeated friction and pressure exerted by the chair's movement can lead to wear and tear, damaging the rug's texture and appearance over time.

Q: 19. Should you opt for a chair with a mesh or padded backrest?

A: Office chairs upholstered in fabric or leather are more comfortable, but they trap body heat between your body and the chair, causing you to sweat. Mesh back chairs allow better airflow to your back, which helps keep you cool and comfortable, providing greater airflow around your entire body. However, mesh chairs may lack cushioning, which can make them uncomfortable for long periods.

Q: 20. What is the best material for an office chair?
